Using Dimensions
Dimensions offer a means of classifying transactions to fulfill specific reporting obligations. The adaptability of dimensions facilitates a more efficient chart of accounts structure. Dimensions can be designated as disregarded (or unused), discretionary, or mandatory for transaction input. These controls are established within the master file regulations.
Furthermore, dimensions can be turned on or off at any time. Gravity provides up to three user defined dimensions.
Additionally, dimension values can be configured to be shared or not shared with different entities.
- Dimensions can be set up to track income and expenses related to marketing events, campaigns or projects.
- Equipment dimensions can be set up to track repair & maintenance charges to specific machines or trucks.
- Employees dimensions can be set up to track expenses related to travel and entertainment charges or employee advances
Set up from 1 to 3 dimensions in system setup > entity configuration. In the dimensions section set use dimensions to yes.
Create labels for the dimensions to be created. Create and plural labels for the dimensions required.
Once dimensions are enabled, a list of possible dimension values must be created. Navigate to Gravity>system setup>system>(dimension name).
Set dimension rules on master file items (e.g. customer, vendor, inventory and COA records. Rule options include ignore (default), optional and required. If a rule requires a dimension, the transaction cannot be saved or posted without a dimension being defined.
If any item on a transaction requires a dimension than it is required for the transaction. For example on a Voucher if the GL Account Number on a line item requires a dimension it must be filed in on that line.
Transaction header dimensions flagged as optional or required appear in the transaction header.
Completing these fields copies the values to the line items to streamline data entry. When needed, you can change a dimension value on a line. Dimensions on the line items drive reporting.
Dimension rules are enforced at the line item level. If dimensions are required, the transaction cannot be saved or posted without a value for the required dimensions.
Dimensions can be used as column filters in Financials Statements. For example each column in a financial report can be a specific project.
Dimensions can also be used in creating rows on financial reports. With the auto expand option on a row, the financial report can expand down to show the aggerate dimension values.
