Recurring Transactions

Recurring Cycles are used to manage and create recurring transactions.

Multi-Entity

Gravity supports multi-entity processing. When using multi-entity, be sure that you're processing the transaction in the correct entity. View the entity on the applicable screen view. When needed use the field's drop down function to view all of the user assigned entities. Select the entity required.

Note the pinned entities field. Companies using a lot of entities will find this function useful. Clicking on pinned entities will display only entities which were pinned by the user, streamlining the selection process.

New recurring transactions can be added to a specific company. However, while transactions can differ between companies, the underlying recurring structure (e.g. weekly, monthly) cannot be revised.ย 

Create and Edit Recurring Cycles

Select a recurring cycle displayed from the active recurring cycles screen for review or editing or click on the new icon to display the new recurring cycles screen.

Summary Fieldsย 

Name

ย Enter a unique name for the recurring cycle.

Frequency

Select the frequency of which the transaction's recurrence frequency. Choose the following options from the drop down list displayed:

  • Daily
  • Weekly
  • Monthly
  • End of Month
  • Quarterly
  • Yearly

Enter the day of the period for the transaction to occur. (1-7, 1-31, 1-365 respectively)

Day Of (Week, Month, Year)

This field is not available for daily transactions.

Ending Date

Enter a date, or use the screen's calendar function to select the date after which the transaction stops recurring.

End After

Enter the number of time the transaction will recur; after which the recurring cycle stops.

Next Occurrence Date

This is system maintained and indicates the next date the transaction will recur.

Number of Occurrences

This is system maintained and will indicate the number of times the transaction will recur.

Document Date / Apply Date

Select how each of the dates will be created when a transaction recures. Options:

  • Recuring Date - Date that the transaction is created.
  • 1st of Current Month - 1st day of the month the transaction was created in.
  • End of Current Month - last day of the month the transaction was created in.
  • 1st of Next Month - 1st day of the next month the transaction was created in.
  • End of Next Month - last day of the next month the transaction was created in.

This field is system maintained and displays each transaction attached to the recurring cycle. Use the screen's selection check box to select the transaction, then use the delete option to remove the recurring cycle from future transactions.ย
