Entity Group

Gravity offers the functionality to accommodate multiple entities within a single database. Depending on the user, there may be a varying number of entities. As the number of entities grows, users may find it necessary to categorize them into custom-defined groups. For instance, a real estate management company might choose to group their entities based on property type, such as office, residential, or retail. It is also possible to assign an entity to one or more entity groups.

The ability to group entities into groups streamlines the information gathering and reporting processes.

Gravity reports can be run by entity group. Additionally, GL account, vendor, customer and dimension master records can be assigned to an entity group.

Access

Access Entity Group functionality from the Gravity system settings, system options.

Multi Entity

Multi entity is not applicable in this function.

Click on an entity group displayed to review and edit an entity group or select the new icon to set up a new entity group.

Name

Enter the entity group name in the name field and save. When saved the entity group is ready to have entities assigned. Use the screen’sΒ Add Existing Entity icon to add an entity group lineΒ 

Use the line search icon to display a list of entities. Choose the entity from the list displayed. Repeat the process as many times as needed.Β 

When working with large lists, use the search function displayed at the top of the column headings to search for entities already assigned. This function assists in controlling the entity assignment process.

Using Entity Groups

Reporting

Gravity reports can be run by entity group. Use the report screen entity group field to select the group from the drop down list displayed. Change the selection each time the report is run.

Master Records and Dimensions

GL accounts, vendors, customers and dimensions can be assigned access via an entity group. Use the applicable record’s access criteria field to select the select entity group option.

Use the entity group field search to display a list of all entity groups. Select the entity group required.
