Available menu actions are based on the current screen, the transaction's status and the current user’s security profile. Menu actions automatically change based on open document status. For example, saving a new document makes the post action available.&#x20;

## Actions Grids

**New**

The New action opens a form allowing new transaction entry. This action is always available.

**Edit**

The Edit action opens a form allowing selected transaction editing. Posted transactions cannot be edited.&#x20;

Posted transactions open in view only mode.

This action is available only when selecting one or more grid display items. Selecting more than one item allows you to make a change to all the items.

**Delete**

The Delete action allows the deletion of one or more unposted transactions. A posted transaction cannot be deleted.

This action is available only when selecting one or more unposted items in the grid display. Selecting more than one item allows you to delete all selected items.

**Correct**

A Posted transaction cannot be changed or deleted but it can be corrected.&#x20;

The Correct action on a posted transaction creates reversing and correcting entries and provides an audit trail.

This action is available only when selecting one posted transaction from the grid.&#x20;

**Copy**

The Copy action makes a copy of the current unposted transaction. Posted transactions cannot be copied.

**Post**

The Post action allows one or more transactions to be finalized or posted. Once a transaction is posted it cannot be edited or deleted.

This action is available only when selecting one or more items in the grid display. Selecting more than one item allows you to post all selected items.

**Print**

The Print (Document) action initiates the print actions of the specific transaction.&#x20;

This action is available only when selecting one or more qualifying transactions from the grid display.

Select the record to be printed in the screen's grid section. Right click on the record then select print from the list displayed.&#x20;

**Copy A Link/Email A Link**

The Copy/Email a Link action allows the user to send or post a link to specific transactions for another user to review.

This action is available when selecting one or more items in the grid display. Copy a link places the link(s) in the system’s clipboard to be pasted into another application. Email a link initiates an email with the links embedded in the email body.

**Advanced Find**

Use Advanced Find to complete difficult searches. Use the function to search for specific records and prepare data for export to Microsoft Office Excel.

**Export to Excel**

Use the menu's Additional Functions to download screen data to an Excel spreadsheet. Select from a static or dynamic worksheet, or a pivot table.

## Actions Forms

**New**

The New action opens a form allowing a new transaction entry.&#x20;

**Save**

The Save action saves the existing transaction and keeps it on the screen for review.&#x20;

New records must be manually saved using the save action.

The Gravity Autosave feature automatically saves changes to existing transactions every 30 seconds.&#x20;

Autosave only works on modifying existing transactions.

**Delete**

The Delete action allows the deletion of the current unposted transaction. A posted transaction cannot be deleted.

**Copy**

The Copy action makes a copy of the current unposted transaction. Posted transactions cannot be copied.

**Post**

The Post action finalizes or posts the current transaction to be. A Posted transaction cannot be changed or deleted.

**Correct**

A Posted transaction cannot be changed or deleted but it can be corrected.&#x20;
